Activation Coordinator (sampling and events coordination)

Position: Activation Coordinator
Location: Remote - West Coast work day
Employment Type: Hourly Flex or Full-Time Flex
Reports to: Account Managers

Coordinating the activation of sampling events for the western regional team.  Work hours are primarily non-traditional and flexible to accommodate changing event schedules.  The most successful candidates will be organized, self motivated and enjoy the fast paced and demanding environment of staffing and events. 

Detailed summary of work responsibilities:

Check-In Duties:
  • Send Staff pre-event communications via the hotline (script provided), answer any questions.
  • Communicate with staff 24 hrs. if there are any schedule changes or cancellations to staff and the
  • staffing the team.
  • Be available as needed to monitor hotline during execution times. Depending on your time zone
  • this could mean some early mornings, nights, and weekends.
  • Work with staff through event check-in process.
  • Use check-in photos to ensure correct execution, if changes are needed give staff direction for
  • correct execution.
  • Problem solves issues
  • Remind staff of event success metrics.
  • Engage with staff in a way that makes them feel supported and builds agency loyalty.
  • This will require non-traditional work hours
Recap Duties:
  • Reshare recap link as needed
  • Work with staff through recap process to ensure proper completion.
  • Remind staff of return POS items and process as needed.
  • Notate event changes – time, staff, etc – in weekly Monday reports
  • Account Calls:
  • Contact accounts pre-event to confirm event and product inventory, answer any questions.
  • Offer to pay for product via phone or online whenever possible.
  • Manage product payments.
  • If schedule changes are requested by account, communicate that to staffing team and to activity
  • manager immediately.
  • If schedule changes are needed due to product inventory communicate that to staffing team and
  • to activity manager immediately.
  • Communicate clearly and accurately with staffing team and account team about any changes or
  • issues.
Internal/Admin Responsibilities:
  • Check all trackers and ensure all events in your division are set up to succeed.
  • Relay any positive or negative feedback back to the client services team.
  • Call out great recap photos, communications or wins that you witness to the client services teams
  • and the staffing teams.
  • Call out any negative behaviors to the staffing teams.
  • Meet deadlines and prioritize tasks.
Qualifications & Requirements
  • 2+ years in Sampling and Promotions/Event Industry.
  • Ability to manage multiple projects simultaneously.
  • Must be a highly organized self-starter who can work well with employees at all levels.
  • Excellent communication skills.
  • Must have a strong work ethic and a positive “can-do” attitude.
  • Willing and able to work nonstandard work hours and weekends regularly.
  • This job has a nonstandard work week, and your schedule will change week to week based on
  • event schedule.
