The Administrative & Project Associate Manager provides administrative and project support to the Marketing Director of SirDavis as well as administrative support to the entire Sir Davis Team. This includes calendar management, travel planning, preparation of reports, correspondence, and presentation decks; and other administration activities to support the successful performance of the executive and their respective teams. The Administrative & Project Associate Manager leads and/or collaborates in the budget management process for the department/team. This role is also responsible for the effective coordination of details and logistics pertaining to each department's internal and external events.Job responsibilities

Administrative Support:
- Handle team members' work-flow & calendar
- Provide appropriate administrative and clerical support to assigned department
- Make travel arrangements
- Provide phone support and handle inquiries Prepare T&E reports for processing, as appropriate
- Prepare presentations, meeting materials
Partner Relationships & Cross-functional Communication:
- Support team through timely and proactive communication and follow-up w/key partners Incl. Maisons and Global Executives
- Be a "point-person" and reply to ad-hoc requests and questions
- Proactively share information, on an on-going basis, regarding brand/company performance
Budget/Invoices:
- Set up new vendors, create purchase orders and follow up with vendors on payments
Project Management & Coordination:
- Coordinate meetings and events for the team
- Broker favorable rates and coordinate rooms for hotels/venues for events, meetings
- Coordinate shipment of products to the relevant partners
- Develop Company communications
- Coordinate a project tracker to report against key achievements and flag key risks
- Assist the team in special projects and coordination
- Proactively participate as project team member
- Additional ownership of projects based on specific department
Systems/Technical Support:
- Efficiently use all MS Office and proprietary systems tools to support team members and handle workload including presentation and spreadsheet development, correspondence and other written documents.
Experience:
- 5+ years of administrative and project management experience with a focus on supporting high level executives in heavily matrixed environments
- Luxury consumer goods or wine and spirits industry experience preferred
- Experience planning all aspects of complicated national and international business trips
Practical/Technical Knowledge:
- Strong analytical, problem-solving and collaboration skills
- Ability to handle highly confidential information and matters in a trusted and responsible manner
- Excellent written (structure, speed and accuracy), verbal, and interpersonal communication skills
- Very organized, detail oriented, an able to balance multiple priorities
- Thrives in fast paced environments
- Exercise a high degree of business know-how
- Self-starter and able to work with minimal day-to-day supervision
- Multiplatform technology proficiency (PC, Mac), experience working with different business software suites, project, and time management tools including Zoom and Office 365
- Thoughtful towards people, information, and property safety and security
- Availability and flexibility to adjust to schedule changes in the context of a global organization operating in multiple time zones (domestic and international), as well as related to business needs and the requirements of the team
