The Billing Support Coordinator is part of the Purchasing Department and is responsible for ensuring the accurate and efficient billing, payment, and settlement processes for NCG programs. This role also processes invoices, maintains billing records, prepares files for collections, and communicates with business partners and member co-ops regarding billing and payment activities.
 
This is an ideal position for billing, payments, and data processing experts interested in having a direct impact on the success of food co-ops, their suppliers, and their communities. Up to 10% business travel required including overnights and weekends.

Primary Responsibilities:
  • Manage and oversee the processes for vendor billing, settlement of promotional and supply rebates, and distributor deductions process for all programs by analyzing, preparing, and authorizing vendor billing and deduction amounts, generating the appropriate billing and backup files, and verifying alignment with vendor contracts. 
  • Work with the Finance Department to develop and maintain systems and processes for distributing all invoices, statements, credits, deductions, back-up files, and other billing-related details to vendors and brokers and respond to their inquiries.  
  • Prepare settlement files and statements for member co-ops and ensure that all data is accurate and processed in a timely fashion.
  • Work with distributors to ensure timely payments for any distributor deductions and identify, plan for, and implement process improvements.
  • Provide staff with thorough and accurate reports and analysis on billing activity with clear, updated, and reliable data. Work with NCG staff on potential remedies and best practices for ensuring accurate vendor billing. 
 
Qualifications:
  • Minimum of 3 years’ experience with business operations, large data set management, and developing end-user solutions utilizing multiple data sources (retailer, manufacturer, distributor, etc.) required. 
  • Minimum 1 year of experience with finance, accounting, or budgeting processes required.
  • Advanced Microsoft Office and Excel skills required.
  • Bachelor’s degree in business, accounting, or a related field preferred.
  • Frontline customer service experience of 3-5 years, preferred.

Home Office Option: This position is eligible for a home office in the U.S. (excluding AK, CA, HI, and territories) if within 100 miles of a major airport and there is sufficient internet bandwidth and mobile phone service for work to be completed efficiently.

St. Paul is part of the major metropolitan area which along with Minneapolis is known as the Twin Cities.
