Role Overview

As a Customer Operations & Deductions Specialist, you will play a critical role in ensuring smooth operations across order management, customer service, billing, and deductions management. You will collaborate closely with sales, finance, and customer teams to enhance process efficiency, deliver exceptional service, and drive continuous improvement. This is a hands-on role in a startup environment, where your contributions will directly impact our growth and success.


Key Responsibilities

Order Management & Customer Service:

  • Oversee the entire order lifecycle, from creation through delivery and billing, ensuring accuracy and adherence to company policies.
  • Proactively communicate with customers to track order fulfillment and shipment status.
  • Collaborate across departments to secure appointments, clarify transportation requirements, and monitor fill rates.
  • Resolve customer questions and issues promptly and professionally by researching root causes and implementing effective solutions.
Financial Operations:

  • Ensure accurate invoicing by collaborating with the sales and finance teams on pricing and promotional agreements.
  • Partner with the sales team to understand trade promotions, customer allowances, and deal activity.
  • Organize and reconcile supporting documentation for all customer deductions.
  • Utilize the TMS system to process and reconcile deductions efficiently, ensuring integration integrity with ERP systems.
  • Dispute invalid deductions with customers and maintain strong relationships to ensure timely resolutions.
Continuous Improvement:

  • Identify opportunities to streamline processes and enhance operational efficiency.
  • Demonstrate sound business judgment by prioritizing critical tasks during high-demand periods.

Qualifications

  • 3+ years of experience in accounting, accounts receivable, or deduction analysis (experience in the CPG or food industry is a plus).
  • Proficiency in Excel and strong analytical skills.
  • Excellent written and verbal communication skills.
  • Experience with QuickBooks and Trade Promotion Management systems is a plus.
  • Self-sufficient and detail-oriented, with a proactive mindset and drive for continuous improvement.
  • Ability to thrive in a dynamic, fast-paced startup environment.
