Seeking a highly organized and proactive Office Administrator to provide comprehensive
administrative support to the Leadership Team. The successful candidate will play a pivotal role in
ensuring that the Leadership Team's day-to-day activities run smoothly, allowing them to focus on
strategic priorities. This position is ideal for someone who excels in organization, time management, and
administrative tasks, with experience in light marketing support, particularly in event coordination and
attendee management.
Key Responsibilities
● Schedule & Time Management: prioritize appointments, and coordinate schedules efficiently for
group meetings within Leadership and the broader team.
● Travel Coordination: Arrange detailed travel logistics, including booking hotels, flights, and
transportation for Leadership and the broader team.
● Document Preparation: Prepare, proofread, and organize materials, reports, and documents for
internal and external use.
● Financial Administration: Process and mail out checks in a timely manner, and manage
expense reporting and reconciliation.
● Task Management: Ensure mandatory tasks and deadlines are met by organizing workflows and
managing priorities using tools like Asana.
● Handling Sensitive Documents: High level of discretion and ability to handle confidential
information
Communication & Coordination
● Information Management: Act as a key point of contact, ensuring information flows efficiently
between the Director and other stakeholders.
● Project management in Asana for admin/leadership tasks
Event & Marketing Support
● Event Planning: Assist with planning and coordinating events, including scheduling,
communicating with sponsors, sending invites, and managing attendees.
Office Support
● Manage client and brand visits, arranging logistics like lunch or meeting spaces to ensure a
smooth and welcoming experience.
● Help with ordering & stocking kitchen and supply closets
● Keep track of device/equipment inventory & inform Leadership to reorder quantities
Minimum Qualifications
● Two to three (2-3 years) years experience as an Administrative Assistant or in a similar
administrative role.
● Exceptional organizational and time-management skills with keen attention to detail.
● Strong communication and interpersonal abilities.
● Proficiency in Microsoft Office Suite (Excel, PowerPoint), Google Workspace (Docs, Sheets,
Slides).
● Familiarity with task management tools (e.g., Asana) to track workflows and ensure deadlines are
met.
● High level of discretion and ability to handle confidential information
● Ability to plan and execute events, including managing attendees and logistics.
● Experience in social media platforms and scheduling tools is a plus.
