Job Summary:
The Staffing Manager plays a key role in ensuring the success of projects in the spirits and alcohol industry, focusing on both on-premise and off-premise events. This individual will oversee all aspects of staffing within their assigned region, including recruitment, interviewing, staffing, and coordination/shipping of materials and supplies. The Staffing Manager will adhere to established processes to maintain a 98% staffing rate for all events in their region, ensuring timely and successful execution of client projects.
The Staffing Manager plays a key role in ensuring the success of projects in the spirits and alcohol industry, focusing on both on-premise and off-premise events. This individual will oversee all aspects of staffing within their assigned region, including recruitment, interviewing, staffing, and coordination/shipping of materials and supplies. The Staffing Manager will adhere to established processes to maintain a 98% staffing rate for all events in their region, ensuring timely and successful execution of client projects.
Key Responsibilities:
- Recruitment: Recruit, interview, hire, and onboard field staff for client programs by utilizing the internal database and recruitment tools. Job postings on job boards, brand ambassador websites, LinkedIn, etc. will be the responsibility of the staffing manager. Build and maintain a database of qualified candidates, ensuring alignment with program expectations. Ability to work with the Director of Recruitment to recruit and build staff in remote areas.
- Staffing: Ownership and responsibility for staffing events in designated region. Staffing oversight will be managed for staffing of high-volume events (4000+ events a year), prioritizing based on event dates and client urgency. Candidates will be the best fit for each event based on specific program requirements and expectations.
- Onboarding & Compliance: Facilitate the onboarding process for new hires, addressing any questions from candidates. Ensure compliance with state regulations for liquor-related events, including breaks, working hours, overtime, and required training and licensing, specific to each state.
- Training & Education: Stay informed about the spirits industry and client brand portfolios to in turn ensure staff is educated on key product information and program guidelines. Ensure all hired staff complete required training and tests before execution of events. Confirming the test and train links are up to date and available to the staff will be the responsibility of the Staffing Manager.
- Logistics Management: Prioritization of events to ensure that kits will be sent out in a timely manner from the Brand Activate warehouse. Effective communication with the warehouse for any last-minute changes will be key.
- Database Management: Maintain accurate records for event assignments, schedules, pay rates, and staff details in the staffing database and Staff Connect. Communication with the Activity Manager and Coordinate to cross reference and double check database details will be necessary on a regular basis.
- Payroll & Expenses: Review and approve payroll for field staff, including hourly wages, training, and travel expenses; this includes making any changes to pay, including staffing changes, hours worked, travel pay, and reimbursements.
- Team Collaboration: Build strong relationships with the Staffing Coordinator, Activity Manager, and Activity Coordinators in the region. Ensure clear communication to confirm event details and resolve any last-minute staffing issues, including cancellations or performance concerns.
Job Expectations:
- Maintain 98% staffing and show rates for all assigned events.
- Recruit, interview, and staff a high volume of events each month.
- Follow all staffing procedures and guidelines to ensure events are staffed within designated timeframes.
- Ensure all event supplies, including materials and giveaways, are shipped and accurately received by field staff within shipping timeframes
- Maintain consistent communication with Brand Activate Activity Managers, Coordinators, Staffing Coordinators, and field teams to ensure event details are clear.
- Collaborate with the Staffing Coordinator to confirm all details, confirmations, and assignments on a daily basis.
- Ensure all administrative tasks are handled efficiently and accurately, meeting all pre-determined deadlines.
- Provide rotating weekend coverage to handle any last-minute cancellations and callouts (1 weekend per month).
Job Requirements:
- Availability and flexibility to address issues that may arise during event execution.
- Meet all staffing deadlines and maintain a 98% or higher show rate for all events.
- Ability to maintain quality consistency while staffing a high volume of events (4000+ events a year)
- Familiarity with states in designated region that pertain to their specific alcohol sampling laws and requirements.
Qualifications:
- Bachelor’s degree or equivalent combination of education and experience.
- Knowledge of the spirits industry and experience in event staffing is preferred.
- Proven ability to recruit and staff a diverse team.
- Experience managing high volumes of event staffing in designated states/regions as defined by the client
- Strong problem-solving skills and attention to detail.
- Ability to work flexible hours, including evenings and weekends, as needed.
- Previous experience in staffing, project management, or a related field is preferred.
- Strong organizational, multitasking, and time management skills.
- Excellent interpersonal and communication skills.
- Ability to work both independently and as part of a team.
- Proficiency in using staffing databases and other relevant software tools.
