Overview

The Purchase to Pay Administrator ensures the procurement system is running properly, and all orders and invoices are flowing through the system promptly.  Supporting and resolving end-user and vendor inquiries and/or issues.

Primary Responsibilities

  • Monitor the daily data feeds to ensure that all files have loaded properly
  • Work with divisions and operations to satisfy system configurations needs
    • Manage user approval groups, roles, and permissions
    • Manage, modify, and delete vendor commodity codes
    • Manage and update sales tax files and mapping
  • Manage requisition process from start to end
  • Manage purchase to pay invoices in invoice reconciliation status mainly the ones that did not pass the 3-way match and need resolving
  • Resolve end-user and vendor emails
  • Create and upload system data files into the procurement application
  • Develop training manuals and facilitate weekly systems training sessions

Additional Primary Responsibilities

  • Run and create daily reports and Ad Hoc reports as needed
  • Run monthly procurement activity reports and dashboards
  • Perform other related duties as assigned

Minimum Qualifications

  • Bachelor’s degree or equivalency plus three years of relevant experience
  • Knowledge of Purchase to Pay (P2P) systems and purchase tracking applications
  • Knowledge of supplier billing and chargeback activities
  • Knowledge of SAP and the ability to export data
  • Ability to resolve problems and meet the needs of our end-users and vendors
  • Strong analytical and problem-solving skills and the ability to make cognitive decisions
  • High proficiency in MS Excel, Word, and Outlook is required with the ability to perform vlookups and pivot table summaries
  • Excellent communication skills – written, verbal, persuasion, motivation, facilitation of strong working relationships
  • Excellent interpersonal, customer service, analytical/problem solving, problem management, presentation development, and presentation skills

Physical Demands

  • Physical demands include a considerable amount of time sitting and typing/keyboarding, using a computer (e.g., keyboard, mouse, and monitor), or adding a machine
  • Physical demands with activity or condition may occasionally include walking, bending, reaching, standing, and stooping
  • May require occasional lifting/lowering, pushing, carrying, or pulling up to 40lbs
