Position Summary:

The Executive Assistant will provide administrative support to the Sr. Vice President - Wines, Champagnes & Prestige, as well as the leadership team where needed. This individual serves as the primary contact for the Wines, Champagne & Prestige team and often provides support to other Executive Assistants and field sales staff, as needed. Responsibilities will range from general administrative support to organizational event planning. Position typically works with all levels of management within PR USA and key external partners - and provides information as directed by SVP. Communication often includes sensitive information requiring complete confidentiality and discretion. Incumbent is responsible for daily management of SVP's calendar which includes consistent communication, coordination and scheduling adjustments. Key Responsibilities:

  • Work with SVP to set priorities and help manage their time to stay aligned with the priorities set but be adaptable to competing and changing demands.
  • Calendar Management: Planning of calendar, coordinate travel (flights/hotel/transportation), arrange meetings, schedule/initiate conference calls
  • Expense Reporting: Manage and submit all expenses in timely manner. Act as Budget Coordinator for Departmental Overhead Budget. Track spending and provide SVP with quarterly updates on cost centers including departmental travel and entertainment expenses.
  • Office Supplies: order supplies and ensure department remains within budget
  • Represent the SVP in company communications (i.e. phone/fax/mail/email, company notes, holiday cards, etc.).
  • Prepare PowerPoint decks and drafts of correspondence for approval and execute transmission, as appropriate.
  • Coordinate and plan annual team meetings, division meetings, monthly leadership team meetings and other meeting events, as required. Manage external vendors, when appropriate. Handle all logistics during events.
  • Responsible for answering phone calls, reviewing incoming correspondence, mail, organizing and preparing confidential pre-read and correspondence for executive meetings.
  • Foster positive and productive collaboration with other Executive Assistants, staff and Executive team.
  • Handle special projects and perform other miscellaneous job-related duties and tasks as needed (i.e. arrange catering for meetings).

  • Requirements:


  • High School Degree required, Bachelor's degree, a plus.
  • Advanced training and proficiency in MS-Office Suite (Outlook, Word, PowerPoint, and Excel) is required.
  • Knowledge of/proficiency in Concur, or similar T&E system is required.

  • Experience / Background:

  • 5-7 years of previous experience supporting senior level management. Prior experience supporting field organization a plus.
  • Excellent verbal and written communication skills required.
  • Prior experience coordinating and planning large meetings and events is highly preferred.
  • Qualified candidates must be detail oriented, able to multi-task, and exhibit strong interpersonal skills.
  • Proven success anticipating change, problem-solving, and acting with a sense of urgency are key competencies for success in this position.
  • Candidates must be comfortable interacting with different personalities and across all levels of management
  • Digitally savvy
  • Not afraid to ask for clarification, take risks and make mistakes
  • Proven ability handling sensitive matters with integrity & discretion
  • Possess a high degree of emotional intelligence
  • Must be highly organized and able to strategically prioritize tasks/projects
  • Demonstrate strong attention to detail when working through complex tasks.
  • Occasional availability out of hours to handle priority business and crisis situations
  • Maintains a positive, can-do attitude even during difficult time
  • Establishes a mutual trust environment by communicating in an honest, straightforward and transparent manner with colleagues at all levels

  • Working Conditions: Work is performed in a typical office environment, with limited demands for movement and lifting. Normal visual acuity required for correspondence and computer terminal usage. Ability to work overtime as required.

    Travel: Position will require 10-15% travel to support sales meetings and events.
